Check-in and Table Setup
-
Table Sales at the Door: The event is almost sold out, with only a few spots left. If you need an extra table or a large aircraft spot, act quickly—we don’t expect any spots to be available at the door. Online sales will close on Thursday, 8/14/25 at 12:00 p.m.
-
Check-In: Check-in will be done using the PayPal name and/or email you used for your online payment. We highly recommend bringing your confirmation receipt, which was emailed to you after payment. Please check your inbox, spam/junk folder, or your PayPal account for this receipt.
-
Early Setup: Early setup will be available on Friday, 8/15/25 from 6:30 p.m. to 8:00 p.m. (doors locked at 8pm) and Saturday, 8/16/25 from 6:30 a.m. to 8:00 a.m. NO CARTS WILL BE ALLOWED IN THE GYMNASIUM
-
Table Assignment: Tables are assigned on a first-come, first-served basis. Multiple tables will be grouped together whenever possible. Requests to be placed next to a specific vendor are best honored when both vendors check in at the same time
-
Admission: Each vendor will receive one admission ticket. Each additional guest/helper must purchase a general admission ticket ($5). One additional admission will be included for a helper for those who purchased more than one table or landing fee (single large item).
-
Parking lot: The venue has plenty of parking spaces and there will be a reserved area for unloading near the door. We will have some volunteers assisting in coordinating the traffic and unloading area. No sales will be allowed in the parking lot. While the parking lot is a private area, please remember to hide your things, lock your vehicle, and take your keys and items from the vehicle. The club is not responsible for the safety of vehicles.
-
Venue: We had positive feedback from the venue last year, and we would like to keep the venue as an option every year, so please help us by keeping the space tidy, cleaning the tables and removing all your items after the event, and making sure you are respectful to the event attendees and the support staff.
To ensure a smooth and enjoyable experience for everyone, please carefully review and follow the instructions below.
Table Setup: Each seller will be provided with a table (6 x 2.5 ft) to exhibit their items. Please arrange all items for sale on top of your designated table. No items are allowed to be placed underneath the tables. We will provide 50 metal chairs with rubber-padded feet, on a first-come, first-served basis. The event will be held on a gymnasium floor. In order to prevent damage to the floor, nothing should be brought in and placed on the floor. There will be no shopping carts available for moving items and NO CARTS WILL BE ALLOWED IN THE GYMNASIUM
The landing fee is a display space for a single large item, not at a table. In a separate area, you will be allowed to display a single large item (ex.: big jets, warbirds, large scale planes, ect) you would like to sell. You will be given a two-part ticket, one to be attached to the sale item and the other to be given to the buyer. When you have completed the sale, give the buyer the half of the ticket you kept. A custodian will match the buyer’s half to the item. The buyer will then be allowed to exit with the item. This is only for larger item(s) not sold or displayed in the table area.
Hallway and Wall Restrictions: For the safety and to maintain the condition of the venue, no items, stands, or racks are allowed in the hallways. Please keep all walkways clear to ensure easy movement and prevent accidents. Items, stands, or racks should not be placed against or leaned on the walls.
Compliance: We are using a sports gymnasium, and this policy is in place to avoid any potential damage to the venue floor and walls. All sellers are required to comply with these instructions. Any seller found violating these guidelines may be asked to rearrange their setup or, in severe cases, may lose their selling privileges at the event.
Thank you for your cooperation! By following these guidelines, we can ensure a safe and enjoyable swap meet for everyone and ensure we can use the venue again in the future. And please be sure to shop and thank our sponsors.
We look forward to seeing you this weekend!
